When it comes to audits, organization is everything. Whether you're facing a routine review or preparing for a deep-dive IRS audit, your ability to produce clean, well-documented financial records can make or break the experience.
At MCAC, we help businesses simplify the process and avoid the panic that comes from last-minute scrambling. Here’s how to organize your records like a pro.
1️⃣ Start with a Master Document Folder
Create a digital or physical master folder labeled clearly for the audit year. Inside, include subfolders for income, expenses, payroll, reconciliations, tax filings, and supporting documents.
2️⃣ Sort Income and Expense Documents by Month
Monthly sorting makes it easier to match financial activity with your accounting software. This includes receipts, vendor invoices, sales records, and any unusual one-off transactions.
3️⃣ Label Supporting Documents Clearly
Don’t rely on memory—label documents with what they support (e.g., 'Office Supplies – March 2024') and note the associated GL code or category. It’ll save hours when an auditor asks for backup.
4️⃣ Keep Bank and Credit Statements in Sequence
Missing a single statement can trigger unnecessary questions. Download or file statements monthly, and keep them in order with the reconciliations right behind them.
5️⃣ Digitize Where You Can (Securely!)
A secure, cloud-based filing system makes it easier to share documents if an audit is remote. Just make sure your data is backed up and password-protected.
6️⃣ Don’t Forget Non-Financial Documents
Licenses, leases, insurance policies, and corporate documents often come up during audits. Store them in a separate folder so you can produce them fast if requested.
An organized system doesn’t just make audits easier—it shows professionalism and builds credibility. At MCAC, we guide Alaska businesses through audit prep from start to finish.
